This is an exciting opportunity for an experienced Administrative Assistant to join GSK's Pipeline Project Management (PPM) organization. In this role you will work closely with your manager, other PPM LT members as well as in close alignment with other Administrative Assistants to provide support within your area and Business Development overall.You will provide high-level support with a high degree of professionalism and discretion, while handling a wide variety of responsibilities. The successful candidate will be a flexible teammate who is a detail-oriented, critical thinker with strong organizational and interpersonal skills. In this role you will Manage of complex calendar together with detailed international travel arrangements. Manage high level enterprise sensitive and confidential interactions both with internal and external third parties. Exercise discretion and independent judgement of matters related to ongoing GSK business development activities. Have awareness and appreciation of the confidential nature of associated documents and ability to manage in a way that ensures only those who need to see the information have access. At times this may require communications to tactfully handle sensitive deal documents and ability to separate deal-related from non-deal related information. Conduct high level written communication with internal stakeholders as well to external parties. Close liaison with EAs and other GSK leaders Manage incoming mail, to determine the level of priority and action accordingly. Coordination at business level with a view on enterprise considerations Responsible for manager's meetings and conference calls, ensuring appropriate technical arrangements are in place and information distributed to appropriate parties. As requested, manage agendas and associated SharePoint team sites. Expense management ensuring all policies are followed and items are processed within guidelines. As requested, assist the manager with any recruitment needs, working closely with HR. Work with PPM admin team to ensure all logistics for US Townhalls and other US events are met. Why you? Basic Qualifications: We are looking for professionals with these required skills to achieve our goals: 5+ years in supporting senior level leaders and various external partners. Experience managing senior level leaders calendars. Previous experience using IT tools such as Microsoft Outlook, PowerPoint, Word and Excel, use of inter- and intranet, WebEx and associated technologies. Preferred Qualifications:If you have the following characteristics, it would be a plus: Proven ability to manage time effectively without supervision, think independently and to organise, prioritise and deliver tasks with minimum manager guidance. Resilient individual who thrives working in a fast-paced environment and demonstrates attention to detail and decision-making skills to respond to high pressure situations. Proven ability to act independently and manage a variable workload. Imperative to work at pace with fast changing priorities and goals. Strong collaboration and relationship building skills. Team player with the ability to gain the confidence of and cooperation of peers. Close working relationship with other department EAs. In depth knowledge of GSK practices and processes an advantage but not necessary. A team approach with other EAs and Admin professionals, personable, high EQ with impeccable integrity.
