POSITION SUMMARY: The Data Entry Clerk, under the direction of the Early Childhood Programs Manager, is responsible for the data entry duties with specified data bases from a collection of parent, child, staff and program information. The position is responsible for bookkeeping duties, billing, and generating invoices for services rendered and for performing basic office duties including maintenance of records, research, compiling reports, and meeting minutes. ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following) Performs data entry of all official program data including information on children, parents, staff, and program operations. Maintains all official program files, generation of official reports and filing. Maintains Early Head Start (EHS) billing data base, calculates and submits billings to Department of Human Services (DHS) and Anishnaabek Community and Family Services Division (ACFS), payroll deduct, and parent billing for extended care services. Performs bookkeeping duties for amounts due and received and sends to appropriate departments. Composes memos, letters, and records and prepares meeting minutes. Assists with purchasing duties: ordering, verify product arrivals, processing and tracking accounts payable, preparation of disbursement vouchers, inter-company payments and requisitions. Assists with team member time records and submission to payroll. Assists with maintenance of inventory. ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following) Evacuates children during emergency and monthly drills. Attends Monthly Management Team Meetings and reviews program operations, policies and procedures. Assists in classroom as needed. All other job-related duties as assigned. CONTACTS: Immediate peers, peers in other departments, immediate supervisor/manager, customers, outside vendors/service providers, Policy Council and Board of Director's Head Start Advisory Committee. PHYSICAL REQUIREMENTS: Position medium with lifting of 50 pounds maximum and frequent lifting/carrying up to 25 pounds. Physical factors include constant use of hearing, smell, near/mid/far vision, depth perception, color and field of vision and typing; frequent sitting, reaching and bending; and occasional standing, walking, carrying/lifting/pushing/pulling, stooping and handling. Working conditions include frequent exposure to noise and occasional exposure to weather. Potential hazards include constant exposure to electrical shock, computer and equipment use; frequent infectious exposure and client contact; and occasional exposure to moving mechanical parts, chemicals and insecticides/pesticides. Must obtain an annual TB Test. Must be in good physical health as determined by physician. REQUIREMENTS: Education: High School diploma or G.E.D. required. Experience: Minimum of 1-year computer experiencerequired. Certification/License: Must be able to obtain CPR/First Aid Certification within 1 year of hire. Will be required to undergo and successfully pass a background check. Must maintain a good moral character standing. Will be required to complete and pass pre-employment drug testing. Knowledge, Skills and Abilities: Must have working knowledge and be able to use word processing and spreadsheet, data base and publishing software. Must have working knowledge and be able to use office machines, such as calculator, copier, fax, printer and computer. Must have knowledge of modern office practices and procedures. Must have excellent organization skills; organizing work, prioritizing tasks and managing time. Must have excellent communication skills and be able to communicate clearly in person, in writing, and by telephone and email. Must be able to handle multiple projects. Must have organizational skills and be able to plan, prioritize and manage work load and be timely and accurate with assigned projects. Must be able to handle crisis situations and emergencies. Must be self motivated and able to work with minimal supervision. Must maintain confidentiality. Native American preferred. GRANT FUNDED: Grant Funded End Date: August 31, 2024
