Position Purpose This position is responsible for input and maintenance of all benefits enrollment/changes on the HRIS system. Communicate all benefit enrollment/changes to the respective carriers. Reconcile and process benefit billings to all Pohlad companies and pay claims/invoices for all benefit plans. Manage the administration of the leave of absence and short-term disability claims. Assist with the administration of the COBRA and retiree programs. Produce all benefit reports. Respond to routine benefit questions. Key Accountabilities Benefit Billing * Receives, reconciles and pays all carrier billings for the benefit plans (welfare plans) * Prepares/distributes monthly welfare benefit billings for all Pohlad companies * Prepares all ACH billing transactions to pay for benefits and to deposit funds into the general insurance account and VEBA health benefit account * Runs all benefit reports and researches and resolves any discrepancies. * Completes tasks related to the payroll including LOA timesheet entry, deduction change and catch-up deduction review, 401k eligibility, deferral, and loan change review * Processes various files between benefit enrollment site, carriers and payroll system * Maintains relationships with benefit vendors Benefit Claims * Assists carriers in the preparation and processing of death and LTD claims * Administers executive medical plan (Further claims) Benefit Administration * Administers the short-term disability (STD) and all other leave of absence (LOA) benefit programs including: FMLA, Parental, Caregiver, Military and Personal * Works closely with 401k recordkeeper and ensures accurate, compliant and effective record-keeping * Processes Tuition Reimbursement requests for assigned companies * Manages the COBRA and Retiree program with the HR Simplified * Maintains benefit portal with current plan documents, forms and instructions * Prepares census data for actuaries, insurance carriers and management * Serves as liaison for employees and retirees * Responds to routine and complex benefit questions * Processes benefit adjustments and severance credits for job elimination * Performs 401(k) and VEBA-related duties (annual audits, vendor questions) * Maintains document outlining all Benefits Administrator processes Benefit Enrollment * Plans and coordinates open enrollment process and communications. Schedules and executes employee meetings. Assists with preparation of documents and system testing. * Maintains the benefit/change enrollment information in benefit/HRIS system (retirement and welfare) * Communicates all benefit enrollment information to insurance carriers * Processes various files between benefit enrollment site, carriers and payroll system Employee Wellbeing Strategy and Programs * Assists with the development and execution of the Wellbeing strategy, including company-wide communications, employee engagement and program delivery * Manages 3rd-party and vendor wellness programming relationships * Assists the company in increasing awareness of health and wellbeing * Create and distribute monthly wellness newsletter Other Performs various audits throughout the year to ensure compliance and eligibility standards are adhered to * Analyzes existing benefit programs of the organization and prevailing practices among similar organizations. * Participates in strategy meetings to evaluate program offerings and possible changes * Assist with other special projects as assigned * Develops benefit process improvements and other initiatives to streamline benefits administration. * Develops and maintains internal benefit administration policies and checklists. * Administers other family retirement offerings (dpHue, Christen Group & The Loupe) Work Environment While performing the duties of this job, the employee will work primarily in an office environment. Travel is not required. Required Knowledge, Skills & Abilities * Knowledgeable of benefit and HR laws. * Excellent customer service orientation with timely, solution orientated responses. * Ability to work independently as well as in a team environment. * Excellent attention to detail and accuracy. * Excellent organizational and time management skills and ability to work under the pressure of deadlines. * Ability to use mature judgment and discretionary behavior when dealing with highly confidential information. * Strong Microsoft Outlook, Word, Excel and PowerPoint skills. Education and Experience * Bachelor's degree in related field and/or equivalent experience. * 3-4 years' experience in a benefits administration position.
