Job Summary: The Executive Office Manager will oversee and manage the administrative functions of Beaver Run Resort's Executive Committee and HOA Board of Directors. This position will be responsible for providing comprehensive support to the Executive Committee and Board, ensuring smooth communication between stakeholders, such as management, homeowners, vendors, and contractors. An ideal candidate will be able to work independently with a keen eye for prioritization, detail, and follow-through. This position requires exceptional written and verbal communication, collaboration, problem-solving, and teamwork. Position is located on-premises in Breckenridge, CO. Full-time, year-round position with benefits eligibility. Position starts at $59,000/yr + DOE Duties/Responsibilities: Assist the Executive Committee and HOA Board of Directors by organizing and scheduling recurring meetings and special events, creating agendas, taking and distributing notes, and tracking action items Host multiple virtual and hybrid meetings using platforms like Zoom and Teams and provide on-site support as necessary Gather and prepare supporting materials and presentations for quarterly and annual HOA Board and management meetings Aid the HOA Board and Executive Committee in complying with Declaration, Bylaw, and governance policies Manage the HOA website and ensure that it is up-to-date Oversee the Beaver Run Interim Center Acquisition (BRICA), which includes K1 communication, shareholder contact information, and sales and share transfers Support strategic initiatives and special events as required by producing presentations, memos, and communication strategies Build relationships and collaborate with stakeholders, including management, homeowners, and community partners Assist with contract organization on SharePoint Education and Experience: 5+ years administrative assistant experience or equivalent experience - required Executive assistant experience - required 2+ years in hospitality industry - preferred HOA experience - preferred High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) - required High proficiency setting up and supporting virtual meetings (Zoom, Teams, etc.) - required This job description is not meant to be an all-inclusive representation of the tasks and duties.
