General Description Under the direction of the Controller, and in collaboration with the Accounts Payable Department, the Accounts Payable Specialist will assist in completing departmental duties (as described below but not limited to) in an accurate, timely fashion to meet our financial standards and goals. Essential Duties and Responsibilities This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time. Reconciles accounts payable invoices with product receipts and internal purchase orders for payment. Investigates variances in quantity and pricing with appropriate individuals for resolution and approval. Assess invoices for correct terms, taxability and freight charges. Reviews unmatched receiving reporting. Coordinate with AP Accounting Specialist on email mailbox and processing workflow. Supports Accounts Receivable, Accounts Payable, Project Accounting and Cost Accounting with cross-department functions such as invoice entry, AP statement reconciliation, vendor and customer reviews, collections, inventory, cost and fixed asset preparation, corporate credit card process, general ledger account reconciliations and reviews, etc. Cross-trained in Customer and Vendor Set-up in ERP system including compliance documentation (example 1099 vendor compliance, certificate of insurance, W9, Tax Exemption Certificates, contact updates, etc.) Partner with other departments such as Purchasing, Shipping/Receiving, Project Management, Customer Service and Sales to problem solve and streamline processes. Assists in the preparation of monthly management reporting, credit card reconciliation, bank reconciliation and other misc. reporting. Collaborates with Controller, Accounting Supervisor and Senior Accountant in the close cycle (monthly, quarterly, yearly) and reporting process, responsible for reconciliations and reporting, prepare journal entries as necessary to correct any discrepancies. Actively participates in the continuous improvement process by identifying and addressing any opportunities to reduce cost, improve product/process and/or improve overall operations. Jointly responsible for maintaining accuracy and completeness of departmental standard operating procedures. Education and/or Experience Associate or Bachelor's degree in Accounting with 2 years of experience or 5 years of relevant experience, if no degree (manufacturing experience is a plus) . Language Skills Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, customers, and employees of the organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Attention to detail and accuracy is critical for the success of an individual in this role. Work Environment This job operates primarily in an office environment, with work that will occasionally take them out to the shop floor. While performing the duties of this job out in the shop, the employee may occasionally be exposed to fumes or airborne particles, moving mechanical parts and vibration. When in the shop the employee is occasionally exposed to outside weather conditions. The noise level in the shop is sometimes loud enough to require hearing protection. BCT is hiring!
